MooseTraxx, LLC ("MooseTraxx," "we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use the MooseTraxx platform, including our website at moosetraxx.com, browser extension, and related services (collectively, the "Service").

MooseTraxx is built on a core principle: process and discard. We analyze meeting audio in real-time to deliver facilitation guidance and effectiveness scoring, then delete it. We do not store recordings, transcripts, or archives of your meeting content.

By using the Service, you consent to the data practices described in this Privacy Policy.

1. Information We Collect

Account information

When you create an account, we collect your email address, a cryptographic hash of your password (never your actual password), and subscription status from our payment processor.

Meeting audio

When you activate facilitation, meeting audio from your browser is analyzed in real-time to generate facilitation guidance and scoring. Audio is never recorded or permanently stored. Processed text is automatically deleted within 24 hours and is used only to deliver your optional post-meeting summary email.

Meeting metadata (opt-in)

If you enable Meeting Trends, we store your MooseScore, meeting duration, participant count (a number only), and meeting type so you can track improvement over time. You can disable this or delete your data at any time.

Calendar data

If you forward calendar invites to MooseTraxx, we process meeting details to generate an AI-powered agenda. This data is used only for meeting preparation.

Anonymized analytics

We collect anonymized, aggregate data about meeting effectiveness and facilitation performance to improve the Service. This data cannot be traced to any individual user, company or meeting.

Technical data

We collect standard technical data (browser type, extension version, operating system, IP address) for security and service operation. We do not track your browsing activity outside of supported meeting platforms.

Non-subscriber meeting participants

When a subscriber activates MooseTraxx, audio from all meeting participants is processed transiently as described above. If you are not a MooseTraxx subscriber: your voice is never recorded, stored, or retained; we do not collect your name, email, or any identifying information; we do not create voice profiles or biometric data; the only data derived from your participation is a participant count. Subscribers are required to notify participants when the Service is active, and an automated notification is posted in the meeting chat.

We use your information to: provide the Service (facilitation guidance, scoring, and summaries); manage your account and subscription; display your Meeting Trends history (if opted in); improve the Service using anonymized analytics; provide customer support; detect and prevent fraud; and comply with legal obligations.

We do not use your information to: train AI models; deliver targeted advertising; sell or rent your data; build profiles beyond delivering the Service; or monitor individual participant performance.

Upon account deletion, personal data is deleted within 30 days. Anonymized data is retained.

6. Data Security

We implement appropriate technical and organizational measures to protect your information, including encryption in transit (TLS), encryption at rest, access controls on production systems, cryptographic password hashing, and short-lived authentication tokens. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

7. Browser Extension Permissions

The MooseTraxx browser extension requests only the permissions necessary for its core functionality and operates exclusively on supported meeting platforms. It does not access, monitor, or interact with any other websites.

The use of information received from Google APIs adheres to the Chrome Web Store User Data Policy, including the Limited Use requirements. The extension also complies with the Microsoft Edge Add-ons developer policies.

8. Your Rights and Choices

You may: request a copy of your personal data (provided within 30 days in a machine-readable format); update your account information through settings; request deletion of your account and personal data; disable Meeting Trends and delete stored data; and withdraw consent by discontinuing use and requesting account deletion.

9. California Residents (CCPA/CPRA)

If you are a California resident, you have the right to: know what personal information we collect and how it is used; request deletion of your personal information; request correction of inaccurate information; and not be discriminated against for exercising these rights. MooseTraxx does not sell your personal information and does not share it for targeted advertising. To exercise your rights, contact privacy@moosetraxx.com.

10. European Economic Area, United Kingdom, and Switzerland (GDPR)

We process personal data under the following legal bases: performance of a contract (account management, meeting processing, billing); legitimate interests (service improvement, security); and consent (Meeting Trends and optional features, which you may withdraw at any time).

For non-subscriber meeting participants, we rely on legitimate interest. Audio is never stored, no identifying information is collected, no biometric data is created, and no permanent record exists. Participants are notified when the Service is active and may request deactivation.

In addition to the rights in Section 8, you may restrict or object to processing and lodge a complaint with your local data protection authority. MooseTraxx is based in the United States; we rely on Standard Contractual Clauses for international data transfers.

11. Children's Privacy

The Service is not intended for individuals under 18. We do not knowingly collect personal information from children. If we learn we have, we will delete it promptly. Please contact us with concerns.

12. Cookies and Tracking

Our website uses essential cookies (authentication, security) and analytics cookies (aggregate, anonymized). The browser extension does not use cookies and stores data locally on your device. We do not use advertising cookies, tracking pixels, or ad networks.

13. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Last Updated" date at the top. If we make changes that materially affect your rights, we will provide additional notice through the Service or by email. Continued use after changes are posted constitutes acceptance.
